REFUND, CANCELLATION, TRANSFER, AND RESCHEDULING POLICY

1. Purpose and Acceptance
Clear Path Training Services (“Clear Path,” “we,” “us,” or “our”) maintains limited class sizes and commits instructors, training equipment, classroom space, course materials, certification fees, online-course access, and administrative resources based on confirmed registrations.
For these reasons, all registrations and purchases are subject to this Refund, Cancellation, Transfer, and Rescheduling Policy.
By registering, purchasing a course, submitting payment, accepting an invoice, or signing a Training Agreement, the purchaser and participant acknowledge and agree that:
They have reviewed this policy before payment;
They understand the applicable cancellation deadlines;
Seats and training resources are reserved specifically for registered participants; and
Refunds, transfers, credits, and rescheduling are available only as expressly stated in this policy.
Except where Clear Path cancels a service or applicable law requires otherwise, all payments become nonrefundable 14 calendar days before the scheduled class.
2. Payment and Seat Reservation
Unless Clear Path approves invoicing or another written arrangement:
Payment in full is required to reserve an individual class seat;
A registration is not confirmed until payment is successfully completed and Clear Path issues a confirmation;
An incomplete, declined, reversed, or disputed payment does not reserve a seat;
Registrations apply only to the participant, course, date, format, and location purchased;
Registrations may not be transferred to another person without Clear Path’s prior written approval;
Promotional codes and discounts must be applied at the time of registration;
Discounts will not ordinarily be applied retroactively; and
Course availability is not guaranteed until the registration is confirmed.
Clear Path may cancel a registration when payment is incomplete, reversed, fraudulent, disputed, or otherwise not received.
3. Standard Public Classes
This section applies to public-enrollment courses and skills sessions unless the course listing states stricter requirements.
Examples may include:
CPR/AED courses;
First Aid courses;
Adult and Pediatric First Aid/CPR/AED;
Basic Life Support;
Bloodborne Pathogens;
Babysitting and childcare-related courses;
Blended-learning skills sessions;
Review or recertification courses; and
Other regularly scheduled public classes.
A. Cancellation More Than 14 Calendar Days Before Class
A participant who submits a complete written cancellation request more than 14 calendar days before the scheduled class starting time may receive a refund of the eligible amount paid, less:
A 15% administrative cancellation fee;
Any online-course, certification, provider, platform, or processing charge already incurred by Clear Path;
The cost of any digital material, course access, manual, kit, or product already issued, opened, accessed, downloaded, shipped, or delivered;
Any payment-processing fee not returned to Clear Path;
Any shipping or handling charge already incurred; and
Any other nonrecoverable expense specifically associated with the registration.
Clear Path will not issue a refund exceeding the amount Clear Path actually received.
Instead of requesting a refund, the participant may request one transfer to another available session of the same course, subject to Section 4.
B. Cancellation Exactly 14 Days or Less Before Class
A registration becomes strictly nonrefundable beginning at the point that the scheduled class is 14 calendar days away.
When a cancellation request is received exactly 14 calendar days before class or fewer:
No refund will be issued;
No cash reimbursement will be provided;
No account credit will be issued except as expressly provided in this policy;
The participant may be eligible for one paid transfer only if the request satisfies Section 4; and
The participant remains responsible for any unpaid balance associated with the registration.
The 14-day calculation is based on the scheduled class starting time, not merely the calendar date.
C. Cancellation Fewer Than Seven Calendar Days Before Class
A cancellation request received fewer than seven calendar days before class results in complete forfeiture of the registration.
No refund, transfer, credit, discount, or replacement registration will be provided except when:
Clear Path expressly approves an extraordinary exception in writing;
Clear Path cancels the class;
The participant qualifies under the Military Service Exception in Section 23; or
Applicable law requires otherwise.
4. Transfer and Rescheduling Requests
A transfer moves a participant from one scheduled session to another session of the same course. A transfer is not a cancellation or refund.
A. More Than 14 Calendar Days Before Class
A participant may request one transfer without a transfer fee when the request is received more than 14 calendar days before class.
The transfer remains subject to:
Available seats;
Availability of the same course;
Any price increase;
Any new or additional course requirements;
Payment of any difference in price; and
Completion of the replacement class within 90 days of the original class date.
Clear Path will not refund a price difference if the replacement class costs less.
B. Seven to 14 Calendar Days Before Class
A participant requesting a transfer between seven and 14 calendar days before class may receive one transfer upon payment of a transfer fee equal to 35% of the original registration price.
The transfer is not effective until:
Clear Path approves the requested session;
The participant pays the transfer fee;
Any price difference is paid; and
Clear Path issues written confirmation.
C. Fewer Than Seven Calendar Days Before Class
No transfer or rescheduling is permitted fewer than seven calendar days before the scheduled class.
The registration and all amounts paid are forfeited.
D. Conditions Applicable to Every Transfer
Each participant is limited to one transfer per registration.
Once a registration has been transferred:
The registration becomes entirely nonrefundable;
No second transfer is permitted;
The replacement class must occur within 90 days of the original class date;
The transfer may not be assigned to another person without written approval;
Failure to attend the replacement class results in complete forfeiture;
The participant must comply with the course requirements in effect on the new date; and
Any promotional discount from the original registration does not guarantee the same price or terms for the replacement class.
A participant who cannot attend the transferred session must purchase a new registration at the then-current price
.
5. No-Shows
A participant is considered a no-show when the participant:
Does not attend the scheduled class;
Does not appear at the correct location;
Appears on the wrong date or at the wrong time;
Arrives after the permitted grace period;
Leaves before completing all required course components;
Fails to complete required online coursework;
Fails to provide a required prerequisite;
Cannot verify completion of a required prerequisite;
Is denied participation because of conduct or safety concerns;
Does not participate in required instruction, practice, assessments, or examinations; or
Otherwise fails to complete the registration for reasons not caused solely by Clear Path.
No-shows receive:
No refund;
No transfer;
No credit;
No discounted replacement;
No certification; and
No reimbursement of related expenses.
A missed class does not constitute nondelivery, merchant nonperformance, or failure by Clear Path to make the purchased service available. Clear Path reserved the participant’s seat, instructor capacity, equipment, materials, and administrative resources whether or not the participant attended.
6. Late-Arrival Policy
Participants should arrive at least 10 minutes before the scheduled starting time.
Unless Clear Path communicates a stricter requirement:
The maximum grace period for a blended-learning skills session is five minutes;
The maximum grace period for a full instructor-led course is 10 minutes; and
There is no guaranteed grace period for an instructor course, examination, challenge course, or other time-sensitive session.
An instructor may deny admission before the grace period expires when:
Required instruction has already begun;
An assessment or examination is underway;
Allowing entry would disrupt instruction;
Missed content cannot be made up;
The certifying organization requires full attendance;
The student could not reasonably satisfy the remaining course objectives; or
Admission would create a safety or compliance concern.
A participant denied admission because of lateness is treated as a no-show.
The following do not excuse lateness or entitle the participant to a refund or transfer:
Traffic;
Parking difficulty;
Construction;
Difficulty locating the building or room;
Work obligations;
Childcare issues;
Transportation problems;
Oversleeping;
Failure to account for travel time;
Failure to review the confirmation email; or
Similar circumstances.
7. Blended-Learning Courses
Blended-learning courses require completion of an assigned online component before the in-person skills session.
The participant is responsible for:
Providing a correct email address;
Opening and reviewing all course emails;
Creating or accessing the required learning account;
Completing the correct course and course version;
Completing all required modules before class;
Using the same legal name and email address associated with the registration;
Maintaining proof of online completion;
Confirming that the online completion remains valid; and
Resolving technical problems before the in-person session.
Clear Path recommends completing the online component at least 24 hours before the skills session.
A participant who has not completed the correct online component before the skills session:
Will not be admitted;
Will be treated as a no-show;
Will not receive a refund, credit, or free transfer; and
Must purchase another session at the then-current price.
Clear Path is not responsible for:
A participant’s internet connection;
Device incompatibility;
Forgotten login credentials;
Employer firewall restrictions;
Email filtering;
Failure to review messages;
Completion of the wrong course;
An incorrectly entered email address;
Failure to allow adequate time for troubleshooting; or
A participant’s inability to use the third-party learning platform.
If the applicable learning platform experiences a verified systemwide outage that prevents timely completion, Clear Path may provide an extension or transfer at its discretion.
8. Failure to Successfully Complete a Course
Payment and attendance do not purchase or guarantee certification.
A participant must satisfy every applicable course requirement, including:
Prerequisites;
Attendance;
Online coursework;
Skills demonstrations;
Written examinations;
Participation requirements;
Course objectives;
Conduct expectations; and
Certification-provider requirements.
No refund, credit, transfer, free retest, or free repeat course will be provided because a participant:
Does not pass an examination;
Does not demonstrate required skills;
Does not satisfy attendance requirements;
Cannot physically or otherwise complete required course objectives;
Fails to participate;
Does not meet prerequisites;
Engages in cheating or misconduct;
Is removed from class;
Chooses to discontinue participation; or
Is otherwise ineligible for certification.
Clear Path may offer remediation, additional practice, retesting, or another course at its discretion and may charge an additional fee.
9. Illness, Injury, Personal Emergencies, and Work Conflicts
Personal circumstances remain subject to the deadlines in this policy.
The following do not automatically create a right to a refund, transfer, or credit:
Illness;
Injury;
Medical appointments;
Family emergencies;
Death in the family;
Work scheduling;
Employer demands;
Court appearances;
Transportation problems;
Childcare problems;
Travel delays;
Relocation;
Financial hardship; or
Other personal circumstances.
Clear Path may approve a one-time exception when:
The circumstances are extraordinary;
The participant provides timely written notice;
Supporting documentation is provided when reasonably requested;
The participant has not previously received an exception;
A replacement session is available; and
The exception does not conflict with certification-provider requirements.
Any exception is discretionary, may include a transfer fee, and does not create a precedent or continuing obligation.
Unless Clear Path states otherwise in writing, an approved medical or emergency exception provides only a transfer—not a cash refund.
10. Communicable Illness
A participant should not attend a class when the participant has a condition that presents a material health or safety risk to others.
Choosing not to attend because of illness remains subject to this policy.
Clear Path may deny admission or require a participant to leave when the instructor reasonably believes the participant presents an immediate health or safety concern.
Removal for a health or safety concern does not automatically create a right to a refund or free transfer.
11. Online-Only Courses and Digital Products
Online-only courses, online modules, digital manuals, electronic materials, downloadable products, and access credentials are nonrefundable once:
Access has been issued;
Credentials have been transmitted;
The product has been opened;
The product has been accessed;
The course has been started;
Material has been downloaded; or
Clear Path has incurred a nonrecoverable provider fee.
If a purchaser submits a cancellation request before access is issued and before Clear Path incurs a provider charge, Clear Path may approve a refund less a 15% administrative fee.
The purchaser is responsible for verifying that an online-only course satisfies the applicable employer, school, regulator, licensing authority, or professional requirement.
Rejection of an online course or certificate by a third party does not create a right to a refund.
When a third-party course provider imposes a stricter refund rule, the third-party rule controls.
12. Manuals, Kits, Supplies, and Physical Products
Manuals, books, kits, supplies, uniforms, equipment, and other physical products are nonrefundable after they are:
Shipped;
Delivered;
Picked up;
Opened;
Used;
Personalized;
Damaged;
Incorporated into a class; or
No longer in new and resalable condition.
Shipping and handling charges are nonrefundable unless the shipment resulted solely from Clear Path’s error.
A participant must report an incorrect or visibly damaged shipment within five calendar days of delivery.
Clear Path may require:
Photographs;
Packaging;
Proof of purchase;
Return of the item; or
Other reasonable evidence.
Clear Path may replace the item, repair it, issue store credit, or provide another lawful remedy. A cash refund is not guaranteed.
13. Instructor and Instructor-Recertification Courses
Instructor courses involve substantial advance expenses and are governed by stricter terms.
A. Cancellation More Than 30 Calendar Days Before Class
A participant who cancels more than 30 calendar days before class may receive a refund less:
A 20% administrative fee;
All online-course and provider charges;
All certification or affiliation fees;
All accessed or issued materials;
Payment-processing charges not returned to Clear Path; and
Other nonrecoverable expenses.
Instead, the participant may request one transfer, subject to availability.
B. Cancellation 15 to 30 Calendar Days Before Class
No refund is available.
The participant may request one transfer after paying a transfer fee equal to 50% of the original registration price.
C. Cancellation 14 Calendar Days or Less Before Class
No refund, transfer, credit, discount, or replacement registration is available.
All amounts paid are forfeited, and any contractually owed balance remains due.
D. Instructor-Course Prerequisites
All prerequisites must be completed, submitted, and accepted by the stated deadline.
Unless Clear Path establishes an earlier deadline, prerequisites must be received at least five business days before class.
The participant is solely responsible for:
Holding the required basic-level certification;
Completing the correct online instructor course;
Submitting valid documentation;
Meeting minimum-age requirements;
Establishing required learning accounts;
Completing pre-course assignments;
Bringing required materials; and
Meeting any affiliation requirements.
Failure to satisfy prerequisites is treated as a participant cancellation and does not create a right to a refund or transfer.
E. Minimum Enrollment
Clear Path may require a minimum number of participants to conduct an instructor course.
If Clear Path cancels for low enrollment, Section 17 applies.
14. Private, Corporate, and On-Site Group Training
Private and on-site training is governed by this policy and any signed proposal, quote, or Training Agreement.
If the documents conflict, the signed Training Agreement controls.
A. Reservation Deposit
Unless otherwise stated:
A nonrefundable deposit equal to 50% of the estimated total is required;
The deposit reserves instructors, equipment, supplies, administrative resources, and the training date;
No date is confirmed until Clear Path receives the signed agreement and deposit;
A proposal or tentative hold does not guarantee availability; and
The deposit is retained if the customer cancels or fails to satisfy its obligations.
B. Final Payment
The remaining balance is due no later than 10 business days before training unless Clear Path approves other terms in writing.
Clear Path may:
Cancel the reservation;
Refuse to begin training;
Require immediate payment;
Withhold certifications; or
Pursue the unpaid balance
when payment is not received as required.
C. Final Participant Count
The customer must provide a final guaranteed participant count at least seven business days before training.
The amount due will be based on the greatest of:
The contractual minimum;
The guaranteed participant count;
The number registered;
The number for whom materials or online access were issued; or
The actual number attending.
A reduction in attendance after the final-count deadline does not reduce the amount owed.
Additional participants are subject to:
Instructor-to-student ratios;
Equipment availability;
Room capacity;
Course-provider requirements;
Certification availability; and
Additional charges.
Clear Path may refuse any participant who was not timely registered.
D. Group Cancellation Charges
Unless the Training Agreement states otherwise:
More than 30 calendar days before training: the 50% deposit is retained; any additional amount paid is refunded less nonrecoverable expenses.
15 to 30 calendar days before training: 75% of the total contracted amount is due.
14 calendar days or less before training: 100% of the total contracted amount is due.
These amounts are agreed cancellation charges reflecting reserved capacity, lost scheduling opportunities, planning, equipment allocation, materials, staffing, and administrative expenses. They are not intended as a penalty.
E. Group Rescheduling
A customer may request one rescheduling more than 30 calendar days before the scheduled training.
Rescheduling is subject to:
Clear Path’s written approval;
Instructor and equipment availability;
Payment of all nonrecoverable expenses;
A rescheduling fee equal to 20% of the contracted total;
Payment of any increased pricing; and
Completion of the replacement training within 90 days.
A rescheduling request received 30 calendar days or less before training will be treated as a cancellation unless Clear Path agrees otherwise in writing.
A second rescheduling request will be treated as a cancellation.
F. Customer-Caused Delay or Failure
The customer must provide:
Safe and timely facility access;
Adequate instructional space;
Tables and chairs;
Appropriate lighting and temperature control;
Electrical power and internet access when required;
Accessible restrooms;
Parking and unloading access;
A lawful and hazard-free site;
Accurate participant information; and
All requirements stated in the Training Agreement.
When customer-controlled conditions prevent or materially delay training, Clear Path may:
Shorten the class;
Refuse to begin;
Stop the class;
Relocate the class;
Reschedule the class;
Charge additional time or travel fees; or
Treat the event as a customer cancellation.
No refund is required when the customer’s conduct, delay, site, or failure prevents delivery.
Travel, lodging, parking, tolls, shipping, rental charges, and other expenses are nonrefundable once incurred.
15. Registration Made by an Employer or Organization
When an employer, school, agency, or other organization pays for a registration:
The purchasing organization controls any refund otherwise payable;
The participant may not personally demand a refund unless authorized;
Attendance and completion information may be shared as permitted by the Privacy Policy;
Replacing one participant with another requires prior written approval; and
Replacement participants must satisfy all prerequisites and deadlines.
Changing the identity of a participant does not guarantee that issued online access, materials, or certification fees can be transferred.
Any nontransferable cost remains payable.
16. Minimum Enrollment, Class Consolidation, and Location Changes
Clear Path may establish minimum enrollment requirements.
If minimum enrollment is not met, Clear Path may:
Cancel the class;
Combine the class with another session;
Move the class to another reasonably comparable nearby location;
Change the class time within a reasonable range;
Offer another class date; or
Offer a different delivery format with the participant’s agreement.
Clear Path will make reasonable efforts to provide notice, but emergencies or last-minute enrollment changes may require shorter notice.
A qualified instructor substitution, reasonable time adjustment, or location change within the same general service area does not create a right to a refund.
17. Cancellation by Clear Path
Clear Path may cancel or postpone a course because of:
Insufficient enrollment;
Instructor illness or emergency;
Facility closure;
Equipment failure;
Utility failure;
Technology outage;
Severe weather;
Unsafe road conditions;
Public-health concerns;
Government action;
Certification-provider requirements;
Security concerns;
Force majeure; or
Other circumstances affecting safe or compliant delivery.
When Clear Path cancels a class and does not provide the purchased service, the participant may choose:
Transfer to another available session;
Account credit valid for 12 months; or
Refund of the eligible amount actually paid for the canceled service.
Clear Path may deduct:
Products already delivered and retained by the customer;
Digital materials already accessed;
Third-party services already fully provided; and
Other completed portions of the transaction.
Clear Path’s responsibility is limited to the eligible registration amount actually paid.
Clear Path is not responsible for:
Lost wages;
Lost work time;
Childcare;
Travel;
Lodging;
Mileage;
Fuel;
Parking;
Meals;
Employer penalties;
Licensing consequences; or
Other incidental or consequential expenses.
18. Weather and Emergency Conditions
Clear Path will make the final determination whether a class will proceed.
Clear Path may consider:
National Weather Service information;
Government emergency notices;
Local school closures;
City or county closures;
Road conditions;
Facility availability;
Instructor safety;
Transportation conditions; and
Other reliable information.
A school, office, or government closure is guidance and does not automatically cancel a Clear Path class.
When Clear Path announces that a class will proceed:
A participant who chooses not to attend remains subject to the standard cancellation rules;
Fear of possible weather does not automatically qualify for a refund;
Ordinary rain, heat, cold, or traffic does not automatically qualify for an exception; and
Clear Path may offer a discretionary transfer when a verified official warning directly affects the participant’s reasonable route.
When Clear Path cancels the class, Section 17 applies.
19. Force Majeure
A force-majeure event is an event beyond Clear Path’s reasonable control, including:
Natural disaster;
Hurricane;
Tropical storm;
Flood;
Fire;
Tornado;
Severe freeze;
Epidemic;
Government restriction;
Civil disturbance;
War;
Terrorism;
Widespread utility failure;
Transportation shutdown;
Facility closure;
Certification-system failure; or
Similar event.
When a force-majeure event prevents the scheduled class, Clear Path may first offer:
Rescheduling;
Transfer;
Relocation;
Alternative delivery; or
Account credit.
If Clear Path cannot provide the purchased training within 90 days and the participant does not accept a reasonable alternative, Clear Path will refund the eligible amount actually paid for the undelivered service, less any completed or nonrefundable components.
20. Refund Processing
Approved refunds:
Will ordinarily be returned to the original payment method;
May require up to 10 business days for Clear Path to process;
May require additional time for the bank or payment processor to post;
Will not exceed the amount Clear Path received;
Will not include excluded fees or completed services; and
May be issued by another reasonable method when the original payment method is unavailable.
Clear Path is not responsible for a financial institution’s posting time.
21. Credits, Discounts, and Courtesy Exceptions
Unless expressly stated otherwise, account credits:
Have no cash value;
Are nontransferable;
Cannot be sold;
Cannot be combined with other offers;
Must be used before expiration;
Apply only to eligible Clear Path services; and
Are forfeited upon expiration.
A courtesy transfer, discount, exception, or credit:
Is discretionary;
Does not amend this policy;
Does not create a precedent;
Does not guarantee similar treatment in the future; and
May be conditioned on payment of fees or completion within a specified time.
22. Chargebacks and Payment Disputes
Customers should contact Clear Path before initiating a chargeback or payment dispute.
A chargeback does not override this policy.
Clear Path may provide the payment processor, bank, insurer, collection provider, or other authorized party with evidence including:
Registration records;
Checkout acceptance records;
Confirmation emails;
Course-access records;
Online-course records;
Attendance records;
Communications;
Policies;
Signed agreements;
Invoices;
Delivery confirmation;
Certification records; and
Other relevant information.
Clear Path may suspend or refuse future services while a payment dispute or unpaid balance remains unresolved.
When a chargeback is denied or reversed in Clear Path’s favor, the customer remains responsible for:
The original amount;
Any unpaid balance;
Chargeback fees;
Returned-payment fees;
Collection costs; and
Other amounts recoverable under the agreement or applicable law.
Nothing in this section limits a nonwaivable consumer right.
23. Military Service Exception
Nothing in this policy limits a right available under applicable state or federal military-service law.
A participant seeking protection based on qualifying military orders should contact Clear Path promptly and provide documentation reasonably necessary to evaluate the request.
Clear Path will provide the remedy required by applicable law.
24. Statutory Cancellation Rights
Nothing in this policy eliminates a cancellation or refund right that cannot lawfully be waived.
Certain transactions entered into away from Clear Path’s regular place of business may be subject to specific statutory cancellation requirements.
Where applicable law grants a greater mandatory right, that law controls only to the extent required.
25. Submitting a Cancellation or Transfer Request
All cancellation, refund, and transfer requests must be submitted in writing to:
Email: [REGISTRATION EMAIL]
The request must include:
Participant’s full name;
Registration email address;
Course title;
Scheduled class date and time;
Order or invoice number, when available;
Requested action; and
Supporting documentation when requesting an exception.
A request is effective when Clear Path actually receives it—not when the customer sends, drafts, mails, or attempts to transmit it.
Telephone calls, voicemail messages, social-media comments, and messages to an instructor’s personal account do not constitute valid notice unless Clear Path confirms acceptance in writing.
